We are seeking a highly motivated, proactive, and client service-oriented Administrative Assistant to support the growth of our financial advisory firm In Person. This part-time role is central to ensuring clients receive world-class service while allowing our advisors to focus on guiding clients’ financial futures. The ideal candidate thrives in a fast-paced environment, takes initiative, and consistently delivers accurate and timely work.

Key Responsibilities
- Accurately prepare and process account opening, transfer of assets, and related client documents, ensuring timely completion and follow-up on corrections.
- Serve as the first point of contact for clients by answering phone calls, emails, and other inquiries with professionalism and warmth.
- Schedule and manage appointments to optimize advisor availability.
- Communicate with clients to gather information, address questions, and resolve issues promptly.
- Create and update process workflows of daily, weekly, and monthly tasks performed.
- Maintain organized client files: file all client documents (including in Docupace), keep files audit-ready, and return documents to clients as needed.
- Stay up to date with compliance requirements and assist in maintaining firm-wide compliance standards.
Required:
- 2+ years’ experience working with a financial advisor or in a related professional services role.
- Strong client service skills with excellent oral and written communication.
- Self-motivated with the ability to prioritize and manage multiple responsibilities.
- Proficiency with Microsoft Office and familiarity with Redtail and Docupace.
- Excellent follow-up and follow-through capabilities.
- Highly organized, meticulous, detail-oriented, and able to multi-task.
- Professional attitude, demeanor, and appearance.
